My Current Tech Stack

One question I get asked at least weekly is, "What's in your tech stack? What apps do you use to stay on top of things?"

Here are my answers...

Funnel Gorgeous - this is the core of our operations. Our client and lead database, email marketing, automations, and even our membership portal, communities, and courses are all run by this one piece of software. It is truly the hub of our company.

I chose Funnel Gorgeous for four reasons:

  1. Customer service - this is my number one decision factor in choosing software. The FG team is available via live chat and phone, and they have office hours every day. I've had some seriously bad experiences with other CRM software, so I won't compromise on service.

  2. All-in-one - you can waste so much time bolting together different pieces of software to make a whole system. FG has everything I need in one place, and it all works together seamlessly. This is my go-to for everything going on in my business.

  3. Training and templates - FG is built on GoHighLevel, which has a reputation for being complex to set up. But Julie and Cathy have a whole series of trainings and templates that actually made it easier than any other CRM I've used.

  4. Pricing - when I moved to FG, my marketing software cost went down 60%. That savings is money I can put in my pocket, while still having better functionality than ever.

Asana - this is my project and task manager. With a team of three, it is essential that we stay out of the inbox and have a dedicated place to manage our tasks. I'm on the paid version because I have a team, but 99% of my clients use the free version. I find the software so easy to use, and it is where 100% of my tasks live. No more hopping back and forth between my inbox, a calendar, and six other places just to get my work done.

QuickBooks Online - yeah, I know, it kinda sucks. But it's accounting software, so I don't expect it to be but so much fun. I use QB because, 1) it's the devil I know as I've used it for 20 years, 2) it does everything I need it to do in one place. QB not only downloads my bank account info, reconciles all of my statements, and provides outstanding reporting, it also runs my payroll (I only pay myself via payroll - everyone else on my team is a contractor).

Google Workspace - all of our email addresses, calendars, and document storage are here. It's inexpensive, I can access everything on or offline, and it just works. Now that AI is tapping into folders to do work for us, it's essential to have everything in one place. I recently ditched Dropbox, OneDrive, and iCloud to consolidate in Google so we have a single connection point. Not only did it save some money, but it made accessibility and sharing much easier.

Claude - 95% of my AI work is done in Claude. Cowork runs 8 tasks for me every day, freeing up about an hour. Design does all the heavy lifting for creating anything that carries our brand (webpages, PDFs, etc). Chat is my thought partner and research assistant. The only thing I don't use it for is image design - that resides in Higgsfield.AI. I am on the $100/mo plan because I am a very heavy user, and I use it for doing work for my clients as well. I've never run out of tokens, even when building tons of webpages in a single day.

ScoreApp - I run all of my quizzes and assessments using this. It's phenomenally customizable but so easy to set up. The client experience is top-notch, and I love the outputs they get. The PDF reports on our Success Circle Assessment alone are so detailed and customized, I can't imagine using anything else.

Relay Financial - I use the Profit First method to manage my business finances, and Relay makes it super easy. The accounts are free, and every Monday the software automatically distributes my income to the correct accounts at the correct percentages. It's flawless and so easy to use.

I realize that is a lot to digest, so if you are just getting started, I'd recommend skipping Asana (use The Daily Success Checklist instead) and ScoreApp. Go with the $20/mo Claude plan (it gives you Design access). Use everything else because they are the most reliable, cost-effective, and simple tools on the market. Believe me, I have tested SO MANY apps over the years.
